Disclosure Document Packet Request

REAL ESTATE AGENT INSTRUCTIONS

Real estate transactions for properties in a HOA require the preparation of a Disclosure Document Package. In order for this to be quick and easy, follow the instructions below exactly.


  1. Go back to the HOME page and complete the CONTACT US information. In the Message section include the full name and address of your real estate brokerage. We need this information since the cover letter (explained below) will be addressed to you. The HOA will then schedule an Architectural Inspection and get a dues status report from Cardinal Management. 
  2. Go to the DISCLOSURE INFO web page and download all of the documents posted. Go to the BOARD MINUTES web page and download the minutes of meetings held during the six months prior to your request and, also, download the last Annual Meeting minutes. 
  3. Some information about the Architectural Inspection. We take this inspection very seriously as it is the last chance we will have to get the homeowner to correct discrepancies that were not corrected in previous annual inspections. If discrepancies are found they will be noted in our cover letter. The Seller then has the option to correct the discrepancies and ask for another inspection or go to settlement with the discrepancies uncorrected, if the Buyer agrees, at which time the responsibility will rest with the buyer for their correction. 
  4. The HOA will prepare a cover letter referencing the documents you downloaded as well as other items that the NVAR or Virginia requires. 
  5. While the instructions above cover the Disclosure Document Package, the HOA is also involved during the Settlement process. We must complete various forms which list monies that must be collected at settlement and distributed. You should stress to the entity that will be handling the settlement to contact the HOA for document completion, not Cardinal Management. Failure to do so will just add delay to the process.

PRIVATE SALES

If you are selling your property privately, you must still furnish the prospective buyer a Disclosure Document Package, complete with a cover letter from the HOA. Complete the steps above to ensure that you will not run into problems at Settlement. If you have any questions, contact the HOA for guidance.
